Your work. Your choices.
White Oak Field Pro privacy policy · Updated September 16, 2026
White Oak Field Pro is provided by Stephen DeStefano / White Oak Studios. This policy explains the optional AI features, account services, and local tools in Field Pro. The account and AI-sharing controls described below are included in version 2.4 and later.
Manual tools and work saved on your device
Estimates, customer details, shop settings, reference pictures, visualizer drafts, and saved designs are stored on your device unless you choose a feature that sends or shares them. Local calculators, AR measurement, on-device image text reading, and supported on-device prompt dictation do not require an AI request. Device backups and any files you export or share are subject to the services you choose.
Optional AI, powered by OpenAI
Before using AI, Field Pro asks permission to share information with OpenAI. Requests can include your messages, project notes, relevant app fields and customer details, selected references, open pictures, and a snapshot of the current Field Pro screen. When you start voice, audio and conversation context are also processed by OpenAI. Field Pro does not read the screens or contents of other apps.
This information is used to answer questions, guide you through tools, fill draft fields, and generate images. Relevant recent conversation notes and any shop preferences you choose to save may be included to provide continuity. Field Pro’s service routes these requests and verifies prepaid credits. OpenAI processes the information under its privacy policy and API data controls. Clearing local memory does not erase records held independently by a provider. We do not promise zero provider retention.
Share only customer information you are authorized to use. You can decline AI sharing and continue using manual tools. In Settings → Privacy & Account, you can revoke AI sharing; this stops an active conversation and blocks new AI requests until you allow sharing again.
Accounts, purchases, and service security
Field Pro creates an anonymous Firebase account for account and credit services. You may choose Sign in with Apple to link your credit account across devices; Apple may provide a name and email address. Firebase provides authentication, app verification, and the credit ledger. OpenAI Sites hosts the AI service.
Apple handles payment details. Field Pro receives transaction identifiers, product, price and currency, account association, and refund or revocation information. We retain credit balances, usage reservations, charges, and transaction records to deliver purchased services, prevent duplicate credit grants, reconcile refunds, and protect against misuse. Field Pro does not receive your payment-card number.
Service security records can include account or hashed identifiers, request identifiers, timestamps, operational errors, and usage counters. These support authentication, abuse prevention, reliability, and credit accounting. The AI relay does not keep a separate conversation-history database of your audio or pictures.
Camera, microphone, location, and suggestions
Camera access supports AR measurements and photos you choose to use. Microphone access supports dictation or an AI conversation you start. Optional approximate location helps identify your town for lumber pricing; you can enter a town manually. A town or project location may be included in relevant AI context. Location does not establish a live supplier quote.
If you submit an app improvement, its text, category, status, and account association are stored for the creators to review. Do not include private customer details in a suggestion unless necessary. Field Pro does not sell your personal information or use it for cross-app advertising tracking.
Retention and deletion
Recent conversation recall is limited to a rolling 24-hour window and is pruned when the local notebook is used; this is not a promise that every file is deleted while the app is closed. You can clear conversation memory in the conversation options. Saved shop preferences, projects, and design drafts are separate and remain until you clear or delete them.
Settings → Privacy & Account → Delete account lets you initiate deletion without contacting support. It closes account access and removes the Firebase sign-in account, submitted suggestions, associated stored AI artifacts, and account-specific local AI memories and drafts. Cleanup may continue in the background after access is closed. Shared device projects and shop settings are retained, as the confirmation explains; you can remove those separately in the app.
We retain only the purchase, refund, credit, and security records needed for accounting, dispute handling, and prevention of duplicate redemption or fraud. Deletion does not automatically refund an Apple purchase or transfer remaining credits to a new account. Short-lived service tickets expire within one minute; hashed request-deduplication records expire after up to 30 days and are pruned during later service activity. Provider and infrastructure records may have separate retention requirements.
For a purchase refund, use Apple’s refund service. To ask about your data, request access or correction, or get help with an older app version, contact Stephen at White Oak Studios. Do not email passwords, Apple payment details, or customer photographs unless requested for a specific support need.
Changes to this policy
We update this page when Field Pro’s data practices change. The date above identifies this version. Materially different AI sharing requires a new in-app choice before that sharing begins.
